3. Booking, payment & cancellation policies (data-related and operational)
When you book through Traveltime.travel, the following operational policies apply (these are part of your contract and we keep related records):
- Advance payment: 40% of the total package cost is required as an advance to hold the booking. The balance can be paid after arrival in instalments as per the guidance of the tour operator. We will retain payment and booking records to manage the booking and any refund obligations.
- Confirmed accommodations: After confirming a tour package, the hotel/resort/homestay you selected will not be changed. Changes may be made only if required by the hotel’s policies or exceptional circumstances; we will notify you and seek consent where possible.
- Skipped sightseeing: If you choose to skip any sightseeing listed in the itinerary, there will be no deduction from the package cost.
- Cancellation charges:
- Cancellation 7 days or more before arrival: 20% of total package cost will be deducted.
- Cancellation less than 7 days before arrival: no refund.
- If the package is cancelled by you due to natural disasters or political movements (force majeure), a full refund will be provided.
- Unforeseen circumstances: We are not responsible for costs arising from unforeseen events such as landslides, roadblocks, bad weather, flight delays, strikes, or other force majeure events. We will assist where possible but cannot guarantee refunds for third-party failures.
- Postpone / Prepone: If you wish to postpone or bring forward your trip, inform us at least 10 days prior to arrival. Package cost may be revised accordingly and we will communicate any changes before confirming.
- Driver & vehicle use: Driver duty time is 6:00 AM to 10:00 PM. Vehicles are intended for sightseeing during these hours. Using the vehicle outside these hours will incur additional costs which you will be informed of and billed for.
We retain booking and transaction data for the period necessary to fulfill legal and operational obligations, handle disputes, and support your bookings.
4. Payment processing
We use third-party payment processors to handle card and online payments. We do not store full payment card data on our servers; instead, payment information is processed directly by the payment gateway (for example, Razorpay, Stripe, PayPal, or another provider). We store transaction references, amounts, and limited metadata necessary for refunds and bookkeeping.
5. Sharing and disclosure
We may share your information with:
- Service providers that perform services on our behalf (hotels, transport companies, local guides, payment processors, email/SMS providers). They only receive the data necessary to perform their function.
- Legal or regulatory authorities if required by law or to protect our rights, safety or property.
- Business transfers: in the event of a merger, acquisition, or sale of assets, personal data may be transferred as part of that transaction (we will require the acquirer to respect this policy).
We never sell your personal information to third parties for marketing.
